Managing Review & Survey Requests

Overview

The Review and Survey Requests pages in RaveCapture help you track which requests have been sent to customers, which are queued, and which have received responses. This is a key area for verifying your integration is working correctly, monitoring engagement, and managing request activity across Company, Product, and Experience Surveys.

Requests can be automatically generated from order data (via integrations or API), or manually added via Direct Requests and Bulk Invites. All requests flow into these tables for tracking and status updates.


Step-by-Step Guide

Step 1: Access the Sent Requests Tables

From the left-side menu, go to Review Management, then:

  • Select Product Reviews, then go to the Review Requests tab

  • Select Company Reviews, then go to the Review Requests tab

  • Select Experience Surveys, then go to the Survey Requests tab


Step 2: Understand Request Statuses

Each request entry includes a Status label:

  • Waiting to Send – The request is scheduled but hasn’t been sent yet. Once the send-after delay is met, the email will be sent.

  • Sent – All requests have been successfully sent.

  • Reminder #1 / #2 / #3 – One of the configured Smart Reminders is scheduled to send. These only apply to email requests.

  • Review Submitted – The customer submitted a review. No further reminders will be sent.

NOTE: If the merchant is out of email or SMS credits, and a request has passed its scheduled send time, it will remain in "Waiting to Send" with a tooltip that says "Delayed".

Step 3: Canceling Pending Requests

You can cancel the initial review request (not reminders):

  • Click the red Cancel button beside any request labeled Waiting to Send

  • This is useful for stopping review requests on test orders or mistakes

NOTE: Smart Reminders cannot be canceled manually once scheduled.


Important Notes

  • Imported Reviews from external sources (e.g., Google, Yelp, Facebook) do not appear in the Sent Requests tables. They are handled through the moderation views.

  • SMS Requests follow the same status system but show "SMS" in the Channel column. Smart Reminders are not available for SMS.

  • Once a review is submitted, the request status will not update to include a link to the review or indicate publishing state. It will remain labeled as "Review Submitted".

  • The Send Date shown reflects only the initial request send date. Reminder send dates are not shown.


Advanced Setup (Optional)

Power and Enterprise Plan users can export request data from all three types (Product, Company, Survey) via Account Settings > Export Data.

The Sent Requests tables are also filterable by status, date, product ID, and other fields, helping you drill down on activity quickly.
