Overview
The Employee Access tool allows you to securely invite employees to your RaveCapture account, granting limited or full access depending on their role. This ensures that your business maintains proper control and oversight, with only authorized personnel accessing critical features.
Note: This feature is available starting on the Power Plan.
WHY is Employee Access Important?
Giving employees secure, role-based access to your RaveCapture account helps streamline workflows while protecting sensitive business information. Here’s how the feature benefits your business:
Improved Efficiency: Team members can handle reviews, photos, and Q&A responses without needing admin involvement.
Enhanced Security: Role-based permissions prevent unauthorized access to key account areas.
Accountability: Easily monitor which employees have access, track invitations, and adjust permissions as needed.
Scalability: As your business grows, this feature allows new hires or team members to access only the tools they need to perform their jobs.
Use Cases
Here are some practical ways businesses can leverage the Employee Access feature:
Retail Store Managers Managing Reviews: A retail business can assign store managers as Moderators, allowing them to manage customer reviews and photos specific to their locations while keeping financial and reporting data restricted.
Marketing Teams Handling Q&A: Granting Moderator access to the marketing team ensures they can respond promptly to customer questions without needing access to account-wide settings.
New Hires or Temporary Employees: Add new employees with temporary Moderator access to manage seasonal demand. Later, you can upgrade or revoke access based on their ongoing role.
Business Owners Granting Full Access to Administrators: Business owners or senior managers may assign Admin access to high-level staff to manage employees, permissions, and overall account operations.
Prerequisite: Company Verification
Before sending employee access invitations, your company must be verified by RaveCapture. If your company is not yet verified, a notification will appear in the header of your app advising you to request verification. Employee access invitations cannot be sent until verification is complete.
Accessing the Employee Access Area
Login to your RaveCapture account.
Click on the gear icon in the header and select Account Settings.
Go to the Employee Access tab.
Inviting Employees to Access Your Account
At the top of the Employee Access page, you can invite employees by providing the following details:
Name
Company Email
Permissions Type
For Permissions Type, select one of the following:
Moderator: Can only access Reviews, Q&A, and Photos.
Admin: Has access to all areas of the account.
Once you’ve entered the details:
Click Send Invite.
The invited user will receive an email within a minute, containing a generated password to log in.
Managing Existing Users
The Invited Employees section at the bottom of the Employee Access page displays all invited users and their current status. You can monitor the following details:
Who has access to your account
Permissions type (Moderator or Admin)
Whether they’ve accepted the invite
Editing User Access
Click Actions > Edit next to the employee’s name.
Update the name or permissions type as needed.
Click Save to apply the changes.
Deleting a User
Click Actions > Delete next to the employee’s name.
Confirm the deletion to immediately revoke their access.
Customization Options
Upgrade or Downgrade Permissions: Easily switch between Moderator and Admin access based on changing job roles.
Resend Invitations: If an employee didn’t receive or accept the invite, you can resend it from the Invited Employees area.
Temporary Access: Assign Moderator access temporarily to seasonal workers, then revoke or upgrade as needed.
