Overview

The Employee Access feature allows you to securely invite team members to your RaveCapture account with either full or limited access. This helps protect sensitive data while giving the right people the tools they need to manage reviews, photos, Q&A, and more.

⚠️ This feature is only available on the Power Plan and above.

⚠️ Your company must be fully verified before you can invite team members. Verification ensures your account is authorized to send review requests and manage communications.


Why Use Employee Access?

  • Security: Only Admins can invite, edit, or delete team members

  • Efficiency: Team members can directly manage reviews and content without relying on the account owner

  • Accountability: All team actions are linked to individual logins (no shared accounts)

  • Scalability: Onboard new hires or seasonal support staff without overexposing account-level controls

✅ Admins can access the Employee Access tab and manage other users. Moderators cannot access this area.


How to Invite Team Members

  1. Go to Account Settings > Employee Access

  2. At the top of the page, enter:

    • Name

    • Email (we recommend using a company address)

    • Permission Type (Moderator or Admin)

  3. Click Send Invite

The employee will receive an email with their login details. Pending invites stay active indefinitely until accepted or removed.

🔁 You can resend invites or delete them at any time from the Invited Employees table.


Managing Employee Access

In the Invited Employees section, you can:

  • View invite status (accepted vs. pending)

  • Edit user roles or names

  • Delete a user to immediately revoke access

To edit or delete:

  • Click Actions > Edit or Actions > Delete next to the employee’s name

  • Changes take effect immediately


Best Practices

  • ✅ Use employee-specific email addresses — avoid shared logins

  • 🔐 Assign Moderator access for temporary or seasonal team members

  • 🔁 Regularly review user access to keep permissions up to date

  • 🚫 Only invite trusted team members — Admins have full control over account data

💡 Need one person to access multiple RaveCapture accounts? Contact Support to request cross-account access. Permissions must remain consistent across accounts.


Limitations & Notes

  • Employee Access is only available for verified accounts on the Power Plan or higher

  • There’s no expiration for pending invites — clean up unused invites as needed

  • A single email address can only hold one permission level across all accounts

  • Employee logins are tracked internally, ensuring accountability for all actions
